The Oak House…… small print

In order to keep everyone safe, each member and visitor to The Oak House must read and adhere to our small print (terms and conditions) as well as our privacy policy. If you have any questions or queries then please do not hesitate to contact us so we can help / clarify any concerns that you may have.


Visiting & Parking

When visiting The Oak House, we ask that you are mindful of others and respect our neighbours. Even though we are situated within Hatfield House, our studio is also accessible on Church Street where our neighbours live. To find our amazing studio, please use the George’s Gate entrance for Hatfield House situated on the Great North Road. Once you pass the gates, follow the signs within Hatfield House to find us and keep an eye on cars entering and leaving our carpark.

All visitors to The Oak House are entitled to use our studio’s carpark or the main customer carpark for Hatfield House free of charge. All vehicles are left at the owner’s risk, The Oak House & Hatfield House cannot be held responsible for theft or damage.


Memberships & class bookings

All visitors to The Oak House must complete our registration process before being able to purchase classes or memberships. We have partnered with Mindbody Online to provide our booking systems and so, all information will be held by them.

By completing our registration process, you will be applying to become a member of The Oak House and acceptance of your registration is at our discretion. If your membership is cancelled, then you will cease to be a member and will have to reapply in the future. 

We provide, but are not limited, to the following class packages and memberships:

Drop-in classes

Express classes

Bundle of 5 classes

Bundle of 10 classes

Bundle of 20 classes

1:1 classes

1:2 classes

Unlimited monthly membership

Being a member does not guarantee or reserve your place in a class. We hold slightly smaller classes to the norm so all our members and visitors can enjoy bespoke sessions tailored to their individual needs. As class sizes are limited, and subject to availability, we highly recommend booking in advance.

Bookings can be made through the Mindbody mobile app, search for The Oak House Studio & Therapies ( save us as a favourite), on our website (www.theoak-house.co.uk) or in person. Bookings through our website or on the Mindbody app can only be made once you have completed your registration process. Classes can be booked up to 30 days in advance.

If you are late for any studio class, you may not be able to participate out of consideration for other members in the class as well as your safety (as warm up is an important aspect of the class). If you sign up for the waiting list you will automatically be added in to the class if another member makes a cancellation.

Membership and studio prices can change from time to time. If we need to amend any of our prices, we will notify you 30 days before any changes are made. 

We reserve the right to remove anyone from our premises or terminate a membership if you fail to comply with our terms & conditions.

We operate a cash free policy. All purchases need to be made with contactless payments or by using a debit card.


Cancellations

If, in the future, you decide you would like to cancel your membership, we require a minimum of 4 weeks notice. Cancellations can be sent to: info@theoak-house.co.uk.
We appreciate that sometimes you might need to cancel your class. If this happens and you are able to provide 24 hours notice, your booking will be returned to your account. Credits and refunds are not transferrable.

If, unfortunately you cancel under 24 hours, then your booking will still go ahead and you will be charged in full. Cancellations can be made through the Mindbody app, via our website or by calling the studio. 

As classes are booked on a first come, first served basis, if a member continually ‘late cancels’, The Oak House reserves the right to remove that person from future classes to allow our members the opportunity to book the class.
If The Oak House has to cancels a studio class or therapy session, we will credit your account with the corresponding amount, however cash refunds will not be available.
Any abuse of the Mindbody online system, will result in your membership being terminated.


Changes to Personal Details

Following the completion of our registration process, you are responsible for updating us with any changes to your personal details as well as declaring all injuries, illnesses, pregnancy and changes to medication. If you sustain a serious injury which prohibits you from completing your booked classes or keeping up with your membership, these will be paused once a certified medical note by a doctor has been presented.
All personal information will be kept confidential and will not be shared with any 3rd parties. We will only use your personal information for the purpose it was shared and in accordance to our privacy policy. You must notify us of any changes to your address, email address or phone number as these will form the main correspondence channels to discuss memberships and bookings.

WIFI and use of personal devices

Free WIFI is available within the studio. To protect other members identities and beliefs, photography and video recording within the premises is forbidden. We ask that all devices are kept on silent so not to disrupt ongoing classes.


Liability

You are more than welcome to bring your personal belonging with you into the studio. However items that are bought into The Oak House are brought and left entirely at your own risk. The Oak House and our staff shall not be liable for any loss or damage to personal belongings within our studio.

The Oak House provides market leading equipment which is regularly serviced and maintained. The use of our equipment and our facilities is at your own risk. You must not use any equipment, or undertake any activity unless you are satisfied that you are competent to do so in a safe and proper manner. The Oak House will not take any responsibility for any accidents or injuries incurred.

When using our equipment and facilities, you must take care to safeguard your own health and safety and that of other members. You will be solely responsible for any loss or injury that you cause to yourself, other members, or to our equipment & facilities through unsafe or improper use. This includes under the influence of alcohol or medication, or your failure to advise staff of a medical condition relevant to your use of the equipment or facilities. 

While our staff are leaders in their fields, they are not medically trained and are therefore not qualified to assess whether a member is in a good physical condition or whether taking part in a class will be detrimental to your health. It is your responsibility to notify staff if you feel any pain or discomfort or light headedness or dizziness during classes or treatments. 

The Oak House adheres to all government guidelines in regards to Covid19. If you feel you are suffering from any Covid19 symptoms, you should undertake a test and self isolate if a positive response is recorded. If you have any other infections, contagious illnesses or diseases then you should not travel or visit our studio.

We recommend bringing your own mats and towels to all classes. We will have mats on site, however ask that you bring a towel if borrowing one of our mats.

Miscellaneous

To enter and leave The Oak House, you must use the main door unless advised otherwise. 

All members must report to reception before attending each studio class or treatment to sign in.

In the event of a fire, members must follow the instructions of staff and must use the nearest exit available, leaving belongings behind.

You must be dressed accordingly for the studio or treatment that you are undertaking. Socks, slippers and indoor flip-flops are permitted in and around the reception area, however, when you practise we request you have bare feet.
By coming into The Oak House, you consent to having your photograph taken and being videoed from time to time. These may be used for social media or marketing purposes. If you do not want your photograph taken, please make sure a member of the team is aware.

If you suspect an unauthorised use of your Mindbody account or any other breach of security, you must bring this to the attention of The Oak House. You are responsible for the confidentiality of your account and passwords and should not share these with anyone.

All marketing, educational documents, website content, logo, pictures or other materials produced by The Oak House remain the property of The Oak House.


Amendments

We may need to change our small print from time to time. If any changes are made, we will notify you and provide the latest version on our website: www.theoak-house.co.uk.

If we choose to waive any breach of our terms & conditions, this does not stop us enforcing them, or any particular part of them, at a later date.
